TERMS AND CONDITIONS
Each group will receive a written confirmation laying out the Terms and Conditions of their specific tour:
These terms will include the agreed tour price/based on the agreed room occupancy
And minimum numbers required to sustain the tour price.
These terms will also include the inclusions under the programme contracted along with any associated websites for ease of reference.
Any change in numbers will necessitate a recosting, which might increase or reduce the price of the tour price.
PAYMENT SCHEDULES:
First deposit: generally required within 30 days of acceptance of the programme to confirm the accommodation the amount to be determined will be based on basic tour inclusions:
Tour price of between $350.00 and $500.00 - $75.00 will be required.
Tour price of between $501.00 and $1,000.00 - $150.00 per preson
Tours between $1,001.00 and $2,000.00 - $250.00 per person will be required.
Tours over $2,000.00 a suitable deposit will be negotiated.
Final payment requested 60 days prior to arrival.. in some cases a final payment may be made as late as 45 days prior to arrival will be acceptable, but will be confirmed in the said Terms.
All payments are to be wired to the account of Anne Cottrell Tours Inc at the Bank of Montreal, as per the invoice details.
ALL DEPOSITS WILL BE MADE IN THE CURRENCY OF THE COUNTRY TO BE VISITED I.E. IN CANADIAN OR U.S. FUNDS
CANCELLATION POLICY:
If any participant must cancel their trip, any amount paid will be refunded less the applicable cancellation penalty below.
SUBSTITUTIONS CAN BE ALLOWED UP TO THE TIME OF ARRIVAL:
Cancellation prior between the date of deposit and 60 days prior to arrival - $150.00 per person
Cancellation between 59 and 30 days prior to arrival $250.00 per person
Cancellation between 29 days and day of arrival - no refund
HEALTH AND TRAVEL INSURANCE:
It is highly recommended that Insurance be purchased for Trip Cancellation Interruption and Medical for the duration of the visit to Canada or the USA but is the total responsibility of the visiting group or its agent to purchase such insurance and ensure that the travellers are in possession of the documentation in case any claim is required to be made.
INSTRUMENT INSURANCE FOR PERFORMING GROUPS:
It is recommended that an instrument manifest be carried on the tour and that all instruments have been insured prior to their exit from their home country.
This normally would be required for the airline carrier, and simply can then be utilized as required for any Canada or US customs formalities.
PERSONAL LIABILITY INSURANCE: (CONCERT TOURS ONLY)
Some performance venues such as public parks and buildings, the group may be required to purchase a policy which will be required by the authorities
Prior to approval of a venue.. Central Park in New York and Metro Square in Toronto are such venues.. Groups are encouraged to purchase this insurance for a small fee from their Insurance broker prior to their departure from their home country and in order to provide the documents required.
TRAVEL DOCUMENTS:
All travellers must be in possession of a valid machine readable passport... it is recommended in these days that all passports be valid for at least six months following their arrival into the country they are visiting.
VISA REQUIREMENTS FOR ENTRY TO CANADA AND THE UNITED STATES:
Should a group be travelling in addition to the the US from Canada by surface, a border crossing fee is required for a Visa Waiver, currently this fee is for $6.00US payable in cash.(This is subject to you having a machine readable passport and a passport from a country who participated in this scheme) please check with your local Embassy or at

Should the group be Pre arranged with Anne Cottrell Tours Inc. we will build this amount into our tour package, and make arrangements to pay this on your behalf at the border crossing point!
In some cases permanent visas are required for visitors to the US, who are holding passports from certain countries. A full list of countries needing visas for entry to the United States can be found at http://www.usimmigrationsupport.org
It is the sole responsibility of the traveller/group leaders to ensure they have the correct visas for travel either into Canada or the United States
Anne Cottrell Toursand will not be held accountable or responsible for any additional cost or charges encountered for incomplete documentation upon entry to Canada or the United States.

ACCOMMODATION STANDARDS:
Standards of accommodation will be determined by the budget of the group, and will range from youth hostels operated under the International Youth Hostel Association banner. All accommodations are recognized as being up to all Health and Safety standards, and full details will be provided along with quotation proposal.
ITINERARY:
The itinerary may be changed at any time due to local conditions, and or to improve the value of the experience but only with the approval of Group Leader and/or its agents.
